01. General Return Policy (Standard 30-Day Window)
You may return most products purchased on www.hsopetroleum.com within 30 days of delivery for a refund or replacement, subject to the conditions below.
To be eligible for a return, the item must be:
In its original packaging.
Unused and in the same condition as received.
Accompanied by proof of purchase (order number or invoice).
02. How to Initiate a Return

Online: Visit "Your Orders" in your account dashboard and select "Return Items."
Our team will provide you with a Return Merchandise Authorization (RMA) number and instructions for shipping. Do not ship any item back to us without first obtaining an RMA number, as this may delay or prevent the processing of your refund.
03. Restocking Fees
Due to the specialized nature of industrial and petroleum equipment, a restocking fee may apply to certain returns:
Standard Parts & PPE: No restocking fee if returned within 30 days in original condition.
Special Orders / Non-Stock Items: Items ordered specifically for you that are not part of our regular inventory are generally non-returnable unless the item arrived defective.
Large Equipment (Tanks, Heavy Machinery): A restocking fee of [15-25%] may apply to cover handling and inspection costs. This will be communicated to you before the return is finalized.
04. Non-Returnable Items
For safety, regulatory, and hygiene reasons, the following items cannot be returned:
Hazardous materials, flammable liquids, or chemicals (including lubricants once dispensed).
Personal Protective Equipment (PPE) that has been used or worn (e.g., used helmets, gloves, safety harnesses).
Custom-made or configured parts.
Products missing serial numbers or identifying tags.
Items classified as "final sale" on the product page.
05. Defective, Damaged, or Incorrect Items
We take great care in quality control. If you receive a product that is defective, damaged in transit, or the wrong item, please contact us within 7 days of delivery.
Photographic Evidence: To expedite the process, please provide photos of the damage, the defect, or the incorrect item along with its packaging.
Resolution: We will arrange for a replacement, repair, or full refund, including reimbursement of reasonable return shipping costs for confirmed issues.
06. Refund Processing Time
Once we receive and inspect your return, we will notify you of the approval or rejection of your refund.
Inspection Period: Please allow up to 5-7 business days for our team to inspect the returned item.
Approval: If approved, your refund will be processed, and a credit will automatically be applied to your original method of payment.
Timing: Credit card refunds may take an additional 5-10 business days to appear on your statement, depending on your financial institution.
07. International Returns
Returns from international locations are more complex. Please note the following:
Costs: The Buyer is responsible for all return shipping costs, customs duties, taxes, and brokerage fees associated with returning an item from outside the USA, unless the return is due to an error on our part (e.g., wrong or defective item).
Documentation: You must clearly mark the package as "Returned Goods" to avoid additional customs charges. We recommend using a trackable shipping service.
08. Buyer's Remorse vs. Operational Needs
We understand that project needs change. If you are returning a product simply because you no longer need it (buyer's remorse), you are responsible for the cost of return shipping and the item must be returned in perfect, resalable condition.
